SUMMARY OF POSITION
Under the direction of the Manager of Finance, the Accounting Assistant is responsible for providing support to the Finance team and the Manager of Finance in accordance with Carefor’s financial activities, policies and procedures. The Accounting Assistant will process and record transactions while ensuring the integrity of our financial records, fielding communications with vendors, and issuing payments to vendors and partners.
KEY RESPONSIBILITIES
- Ensures that vendor invoices are approved by the appropriate level of Leadership in accordance with Carefor’s policies and procedures.
- Performs accurate data entry of vendor invoices into the accounting system, ensures that the expense is coded to the appropriate general ledger account.
- Issues payments to vendors and partners using Telpay payment processing.
- Responds to vendor inquiries, fact-checks and resolves discrepancies and/or account inquiries.
- Reconciles volunteer mileage claims from multiple sources within the organization and issues the monthly reimbursement.
- Maintains the main office petty cash, ensures that funds are always balanced. Reconciles monthly petty cash summaries from other Carefor Centres, records transactions in the financial system and issues cheques for reimbursement.
- Records and reconciles all inter-site transactions, ensures that the expenses are coded to the appropriate general ledger account.
- Ensures proper expense cut-off at month-end, follows up with known outstanding vendors invoices.
- Reconciles monthly accounts payable aged report to the general ledger, investigates any discrepancies.
- Assists in maintaining Records Retention system.
- Provides support to the Management Team for any inquiries and requests when it comes to reviewing vendor invoices.
Qualifications
- Minimum 2 of experience in a related position
- 2 year college diploma in accounting, finance, or a similar or an acceptable combination of education and experience
- Excellent interpersonal and communication skills; professional, diplomatic and confident
- Excellent attention to detail
- Excellent organizational and time management skills with the proven ability to manage competing demands
- Technical literacy including experience with Microsoft Office Suite
- Ability to work in a team environment keeping others informed and anticipating needs is essential, while maintaining willingness to contribute and help others
- Ability to work independently and with minimal direction
- Good problem-solving and decision-making skills
Qualifications considered an asset
- Experience in health care and not-for-profit sector
- Experience with Great Plains and/or Telpay
- Ability to converse in both official languages (English/French)

Design solutions to complex business problems to support in the decision-making process. Provide information to Management to equip them to be able to make the decisions and solve the problem

Physical Effort
Physical effort required is low intensity, < 2 hours per day
Mental Effort
Mental effort required is moderate intensity in an office environment, 2-4 hours per day, or high intensity for less than 2 hours per day.
There may be some pressure due to meeting tight deadlines. Incumbent may sometimes have to deal with stakeholders with conflicting interests and need to effectively prioritize.
