Job Summary
Bringing Calgary Public Library’s strategic plan to life, the Facilities Assistant is responsible for providing effective and efficient administrative support to the Facilities department. The Facilities Assistant provides professional, and friendly customer service to Library staff in response to service requests and emergency repairs helping to positively shape employee and user experiences. These key activities provide behind the scenes support to ensure the Calgary Public Library’s strategic plan comes to life.

Responsibilities and Activities
The Facilities Assistant contributes to the success of the Library and its impact in the community by participating in a wide range of responsibilities and activities.
Engage with Users
- liaising with architectural personnel e.g., designers, CAD operators with respect to plan submissions, as built drawings, and record drawing maintenance
- receiving and following up on service and emergency repair requests from all departments and locations of the Library
- coordinating Request for Proposal process including research and identification of potential vendors including processing purchase orders and final invoicing
Shape a Positive User Experience
- coordinating and scheduling work of tradesmen and service personnel, as required
- researching, creating, and maintaining building project files e.g., drawings, specifications
- participating in emergency response procedures and workplace inspections
- maintaining security system data base
- reporting and/or resolving physical safety, security, and facilities issues as appropriate
- contributing to monthly reporting and collecting data on department programs and activities
Create a Welcoming Environment
- welcoming guests, answering the phone, and handling customer requests for the Facilities department
- being knowledgeable and answering enquiries about library programs, services, and policies, referring as appropriate
- being a constructive and collaborative part of the Calgary Public Library team, fully participating in daily operations
Apply Operational Standards
- creating and maintaining documents, work orders, excel spreadsheets, power point presentations, and charts using applicable software
- performing a variety of office support activities, including mail processing, filing, and printing
- creating and maintaining all purchase order reconciliation, spreadsheets including financial reports e.g., budget tracking
- ordering and maintaining office supplies.
- maintaining meeting room calendars and documentation
- contributing to monthly reporting and collecting data on department activities
Qualifications
- Completion of
- General High School Diploma or GED and a minimum of two years of facilities and maintenance service experience
- Pre-Employment Screening Requirements:
- Successfully complete specified technology use tests

- Experience with building management systems is an asset
