As the Executive Assistant to the CEO, you will directly contribute to the growth of Willow Lake Métis Group and the sustainability of Willow Lake Métis Nation. In this role you will split your time between executive coordination and board support duties. This is a dynamic role that requires someone who excels at working on administrative tasks all the way to engaging with influential external stakeholders.

Responsibilities
Executive Coordination
· Managing, booking, optimizing and supporting the CEO’s schedule
· Ensuring that the CEO has all material and briefing notes well ahead of meeting times, in a clear, easy-to-review format – including a weekly summary of next week’s schedule.
· Maintain the CEO’s contact list, including notes and specifics to those contacts. Understanding the importance and relevance of strategic contacts and developing a relationship with those contacts.
· Providing, as required, background research for the CEO on various matters. Using initiative to determine best sources for comprehensive and relevant research.
· Writing correspondence for the CEO, including suggesting when correspondence could optimize a relationship.
· Monitoring and managing the CEO’s e-mail accounts and responding as appropriate.
· Attending various events to provide support to the CEO, sometimes outside of typical working hours.
· Preparing agendas, briefing materials and meeting materials.
· Preparing the CEO’s various expense reports and other administration requirements.
· Managing the CEO’s digital and paper filing systems for ease of use and document accessibility.
· Coordinating communications and supporting content creation.

Board Support
· Lead management of all Board and Committee meeting logistics, including organizing, coordinating, preparing, and distributing agendas and materials. Attend meetings (onsite and offsite), producing meeting minutes and briefing notes.
· Work closely with Committee chairs and senior management; you will ensure action commitments are noted and followed through. Analyze submissions and reports, draft and coordinate the preparation of Board resolutions, summary briefs and reports and effectively liaise with senior management, Board members and external contacts on Board related matters.
· Support various governance initiatives/projects of the CEO and Board
· Supports business name and provincial licensing registrations and renewals

EXPERIENCE AND QUALIFICATIONS:
· Education in business, finance, law, administration, or related field
· 5+ years of experience in a similar role is ideal. A mix of experience and education will be considered.
· Experience in working with, partnering and supporting indigenous communities or organizations is an asset.
· A solid understanding of the Wood Buffalo Region and Oil Sands is an asset
· Advanced Microsoft Office skills, especially Excel, Outlook, and PowerPoint, with an ability to become familiar with company-specific programs and software.

· Ability to establish and maintain positive working relationships with others both internally and externally - friendly and professional demeanor
· Ability to assess situations to determine the importance, urgency, and risks and make clear decisions that are timely and in the best interests of the company

Key Assets:

  • Strong knowledge in Métis traditions and ways of life including harvesting by ways of hunting, trapping, fishing and plant gathering.
  • Knowledge of relevant laws, rules and regulations impacting the Métis people.

Certificate/Training Requirements:
· Valid driver’s license and reliable vehicle preferred.

· Monday to Friday
· On call
· Weekend availability
