Responsibilities:
The Executive Assistant to the CNO performs the full range of clerical, administrative and general office duties in support of the Executive. Serves as the primary initial contact to the Department, coordinating the flow of information between Executive and others, including other departments and members of the CMH Leadership Team. Assists with managing daily administrative functions for the department as well as supporting the CMH leadership team as needed. ·
Essential Functions & Duties
- Manages the Executive's calendar and independently schedules/arranges appointments and various meetings.
- Screens incoming calls, voicemail and visitors for Executive and Department as needed.
- Coordinates programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.
- Directs preparation of records such as agenda, notices and minutes for meetings.
- Takes and transcribes dictation, and composes and prepares confidential correspondence, reports, and other complex documents.
- Draft and prepare correspondence for internal announcements, staff meetings, and organizations that the CNO is involved with
- Creates and maintains database and spreadsheet files.
- Arranges complex and detailed travel plans and agendas, compiles documents for travel-related meetings, and accompanies supervisor when requested.
- Assists department managers with policy and procedure updates and preparation of manuals.
- Responsible for providing On-Boarding support for new hires reporting to the CNO.
- Maintains permanent file of all minutes.
- Opens and sorts mail.
- Orders supplies as necessary.
- Sends, receives and distributes faxes.
- Maintains and updates filing.
- May compile plan of correction responses to the various accreditation and licensing agencies.
- May assist with submitting and reconciling expense reports.
- Provides support on special projects as needed.
- Ability to initiate, plan and direct short and long-term projects.
- Ability to direct questions and solve problems independently.
- Displays a compassionate and caring attitude that represents CMHS in a positive manner to all persons noted above.
- Ability to professionally handle sensitive information and maintain complete confidentiality.
- Performs other duties as assigned.
Required:
- High school diploma or equivalent (GED)
- Three (3) years of experience in an Administrative or Executive Assistant capacity
- Five (5) years of administrative experience
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint) and Adobe Acrobat
- Strong verbal and written communication skills
Preferred:
- Previous administrative support experience in a healthcare environment
- Bachelor's or associate degree in a related field
