Position Summary:
The Medical Records Associate is responsible for maintaining patient medical records. This position also oversees the processing of physician’s orders; tracks, sends/receives and maintains physician orders. Assists with obtaining documents necessary to meet face to face requirements. Ensures patient medical record has the required contents.
- Ensures all contents necessary and required maintained in the patient medical record and required items completed. i.e. consents completed, all documents dated, signed etc.
- Ensures that faxed items such as lab work, orders and supporting documents (H&P, discharge summary op reports) etc. are transitioned into the patient medical record and in their appropriate sections.
- Processes, maintains, sends and tracks physician orders. Ensures orders back signed within appropriate time frames. If needed interacts with physician offices either by phone or in person to obtain signed orders.
- Appraises supervisor of any delays and difficulty in obtaining orders so further delays are not experienced.
- Works with Compliance officer and Supervisor with any record requests from regulatory agencies, subpoenas or patient/families
- Provides back-up with answering phone calls and triaging to the appropriate individuals and/or departments.
- Promotes the agency philosophy and positive image when interacting with patient/families and physicians either over the phone or in person.
- As part of the team, performs other duties as assigned.
Management of Physician Orders to include: sending, receiving, tracking of efforts to obtain timely.
Position Qualifications:
1. High school graduate or equivalent.
2. AS degree/college degree preferred in administrative/business degree
3. Health Care experience preferred
4. Must be a licensed driver with an automobile that is insured in accordance with state and/or organization requirements and is in good working order.

1. Ability to organize, prioritize and multi-task
2. Organized and a resourceful self-starter, strong and possess the ability to work in a team.
3. Excellent observation, verbal, written and interpersonal communication skills
4. Comfortable and proficient with computer use, i.e. Microsoft office suite as well as electronic medical record
In office position M-F 8am to 5pm.
