Apply your Knowledge, Skills & Abilities:
- You will supervise administration and operations assistants.
- Train and support field staff and management in administrative, financial, asset management, and time and attendance processes and systems.
- Supervise efficient, cost-effective use of office space, clerical support, and office equipment.
- Administers 24-hour dispatch and emergency response for the Department and area municipalities, per contracts.
- Administers modules in the computerized maintenance management system, ensuring data integrity; interfaces with financial, payroll, and GPS mapping systems; tables; accounts payable and receivable; information tracking and reporting; customer response management; asset management; and inventory updates. Supervises and approves payroll entry for the Section.
- Tracks and coordinates attendance management for the Section.
- Administers hours of service software for the Section (e.g., registers users, training, updates, reports, maintains annual subscription).
- Prepares insurance claims to recover money for at-fault accidents by the public.
- Assists management and coordinates permanent, seasonal, and student hiring.
- Administers vendor/contractor WSIB clearance for the Section, and notifies supervisors regarding non-compliance.
- Oversees and approves general ledgers and project coding/GL numbers.
- Creates budget reports (e.g., budget vs actual, forecasts).
- Administers annual and replacement clothing orders for the Section, including order tracking and payments.
- Administers annual maintenance agreements with area municipalities, including billing/payments, and notifies Manager regarding discrepancies. Updates costing details for annual signal invoices for the townships.
- Participates in strategic planning and decision-making.
- Participates on corporate, departmental, and divisional committees and projects.
- Administers the “adopt-a-road” program; maintains contracts and data with service groups; trains volunteers; and arranges debris pickup.
- Exchanges information with Ministries, area municipalities, school boards, emergency services, fire, police, conservation authority, railway companies, utilities, health and safety officials, the public, and the media regarding roads maintenance activities.
- Performs related duties as required.

- The requirements for this position would normally be acquired through a post-secondary education in a related field (e.g. business, administration), plus progressively responsible related experience and knowledge of public works financial systems, basic accounting and administration methods and procedures.

- Familiarity with public works terminology, practices, and management in a municipal environment.

- Strong analytical, problem solving, organizational, and continuous improvement skills to develop work plans.
- Strong leadership, communication, and human relations skills.
- Ability to write reports, correspondence, procedures/protocols, internal/external communications and correspondence, and educational resources.
- Ability to read and understand policies and procedures, including updates from the Province.
- Ability to maintain confidentiality and discretion.
- Ability to respond to emergencies, including situations affecting the safety and wellbeing of staff and the public.
- Strong computer skills with ability to use software such as Microsoft Office, databases, desktop publishing programs, financial and accounting systems, and information formats.
- Ability to travel within Waterloo Region.

Compensation:
In addition to offering a competitive compensation package, we have a strong focus on health and wellness, including fitness facilities and family-focused benefits. The salary of this position ranges between $69,232.80 - $86,541.00 per annum (Grade 4 on the Management & Management Support wage scale).
